PLANNING THE PERFECT SPECIAL EVENT


Step 3: DETERMINE A HEAD COUNT (APPROX.)

Determine who will attend your special event and attempt to put together an approximate head count. While there is no “exact science” to do this we have found a recipe that seems to work. For Company Parties, School Carnivals and any social gathering where the guests have a close relation to the type of event, on average about 80% of these people invited will show up. Multiply that number by 2.5 to account for spouses and kids and then you should have a number to work with that makes sense.

If you're hosting an event where flyers, advertising and promotional material is the main draw for guest attendance, its harder to guess the head count. Lets say you passed out 1,000 flyers, you can roughly plan on about 10% to 20% of these to attend. It might take a little more work to get the word out, but do it early and find ways to target a larger audience.
